ABOUT THE ROLE
We’re looking for a highly organized and detail-driven Creative Ops Sample Coordinator to play a key role in bringing our photoshoots to life. In this position, you’ll own the coordination and logistics of all sample assets, ensuring every shoot runs seamlessly within our fast-growing vertical retail business specializing in medical and culinary uniforms.
This role plays a critical part in ensuring photoshoots run seamlessly by managing, preparing, and tracking all apparel samples and related assets. You will partner closely with creative, marketing, and production teams to ensure every item is shoot-ready, delivered on time, and returned accurately.

WHAT YOU’LL DO
Photoshoot Execution & Support (Primary Focus)
  • Own end-to-end sample coordination for photoshoots, from prep through wrap
  • Prepare and organize all samples for shoots, ensuring accuracy against shot lists and styling needs
  • Ensure all garments are steamed, tagged, styled, and presentation-ready
  • Pack, transport (if needed), and track all samples for on-set or off-site shoots
  • Support on-set needs, including quick changes, organization, and maintaining sample integrity
  • Oversee post-shoot returns, ensuring all items are accounted for, organized, and properly stored
  • Responsible for securing the correct sample sizes for virtual fittings
  • Coordinate product embroidery needs for asset development and photoshoots
Inventory & Sample Management
  • Manage and maintain all apparel samples from development through production
  • Track incoming and outgoing samples using inventory systems or spreadsheets
  • Coordinate sample requests across creative, marketing, and sales teams
  • Conduct regular inventory audits and resolve discrepancies
  • Maintain a clean, organized, and efficient sample room
Cross-Functional Collaboration & Operations
  • Coordinate closely with Product Development, Design, and Merchandising teams on product needs
  • Oversee product inventory planning for photoshoot and creative needs
  • Manage the physical garment sample library and prop inventory
  • Lead onboarding and offboarding of samples in alignment with SLAs
  • Build and maintain strong relationships with internal and external partners
 
WHAT YOU’LL BRING
  • Strong organizational and time-management skills with the ability to juggle multiple shoots and deadlines
  • Exceptional attention to detail, especially in styling and presentation
  • Ability to work both independently and collaboratively in fast-paced environments
  • Proficiency in Microsoft Excel for inventory tracking
  • Strong communication skills and a team-oriented mindset
  • Action-oriented, resilient, and adaptable under tight timelines
  • Passion for fashion, product presentation, and creative production
  • Someone who thrives in photoshoot environments and enjoys hands-on coordination
  • A highly organized operator who can anticipate needs before they arise
  • A dependable team player who keeps creative projects running smoothly
  • A problem-solver who can pivot quickly and maintain composure on set
  • 1–3 years of experience in fashion, apparel production, or photoshoot/sample coordination preferred
